Case study · Data moves once

A signed proposal now starts the project on its own.

Harvest, Monday.com and Notion each held part of the truth, and every new client was set up by hand in all of them. We cut the estate down to three integrated tools and made proposal acceptance trigger the rest.

What changed

The JUNO Creative engagement, before and after.

Before

  • ✕Time in Harvest, tasks in Monday.com, documentation in Notion: no single source
  • ✕Every new client onboarded manually, across several platforms
  • ✕Admin and double handling growing with every project

What we built

  • Consolidated onto Cone (proposals and invoicing), ClickUp (projects) and Dropbox (files)
  • Proposal accepted or invoice paid in Cone → ClickUp project and task template created automatically
  • Folder structure generated in Dropbox and access links sent to the client
  • Invoicing tied into Xero, so the finance side needs no re-keying

No more manual admin or duplicated data between systems · One central place to manage projects

See it running

Recordings from the engagement: the automations and dashboards as they work.

RecordingThe onboarding automation, mapped: an event arrives by webhook, and the flow checks whether the client already exists before it creates anything.
RecordingThe folder step: a ClickUp automation builds the new client's Dropbox folder structure.
The same pattern in a larger agency

As the agency grows, this is the onboarding pipeline.

The same trigger, with more steps: a signed proposal generates the engagement letter from its own fields, issues the e-signature, creates the client folder and permissions, scaffolds the project from the right template, assigns the team and schedules the kickoff. The 90-Day Transformation targets four to six hours of founder time per new engagement becoming a twenty-minute review.

He connected Cone to ClickUp so that when a proposal gets accepted, the project and tasks are created automatically in ClickUp, and the folder structure is set up in Dropbox as well. He also tied the invoicing side into Xero, which has made the backend much more streamlined.

I’d recommend TINKR to any business that wants to tighten up its systems and get rid of unnecessary manual admin. They’re especially good if your business has grown to the point where your tools need to start talking to each other properly.
